Welcome to Cadence IP

Cadence IP is a workflow management platform built specifically for patent and trademark practices. It brings your matters, deadlines, correspondence, documents, and billing into a single system with automation that handles the routine work so you can focus on the substantive.

What you can do with Cadence IP

Manage Matters

Track every patent, trademark, and design matter through its lifecycle with configurable workflow steps.

Automate Workflows

Set up automations that send emails, create tasks, generate documents, and advance steps based on triggers like deadlines or step changes.

Communicate

Send and receive emails directly within matters. Incoming emails are automatically matched and filed using subject tags.

Generate Documents

Create letters, reports, and forms from DOCX templates with automatic variable substitution for matter data.

Track Time & Bill

Record time with a built-in timer, generate invoices from templates, and sync to Xero with foreign exchange support.

AI-Powered Assistance

Use the AI assistant to draft emails, summarise documents, and propose workflow actions with matter-aware context.

Key concepts

Before diving in, here are the building blocks you will work with every day:

Matter Types

Templates that define how a category of work is structured. A matter type specifies the workflow steps, custom fields, roles, and templates available. You might have separate matter types for PCT Applications, AU Standard Patents, Trademarks, and Designs.

Matters

Individual cases or files. Each matter belongs to a matter type and progresses through its defined steps. A matter holds field values, contacts, tasks, emails, documents, and time entries.

Steps

The stages a matter moves through. For a patent application, steps might be: Filing, Examination, Acceptance, Grant. Automations can fire when a matter reaches a particular step.

Fields

Custom data attached to each matter: text, dates, numbers, lists, and calculated dates. Fields marked as deadlines appear in the deadline view and calendar.

Roles

Contacts linked to a matter in a specific capacity: Applicant, Inventor, Attorney, Foreign Associate. Automations can send emails to contacts based on their role.

Automations

Rules that execute actions when conditions are met. A deadline approaching, a step changing, or an email arriving can trigger emails, tasks, documents, and more.

Sidebar

Switch between matters, tasks, deadlines, contacts, calendar, and saved views. The sidebar also shows overdue task counts and your active timer.

Dashboard

A powerful data table that lets you search, filter, and sort across all your matters, tasks, deadlines, and contacts.

Matter Page

Everything about a single matter: step progress, field values, tasks, emails, documents, and the AI assistant.

Spotlight Search

Press Ctrl + K (or Cmd + K on Mac) anywhere in the app to open spotlight search. It searches across matter names, IDs, field values, contacts, and tasks.

Quick start path

If you are setting up Cadence IP for the first time, follow these steps:

Create your account

Register at the sign-up page. Enter your organisation name (e.g., "Smith & Associates Patent Attorneys"), your name, and email. You will receive a verification email.

Set up your first matter type

Go to Settings → Matter Types and create a type for the most common work you handle. Define the workflow steps, custom fields (Application No, Filing Date, deadlines), and roles (Applicant, Attorney).

Import or create matters

Either import existing data from a CSV file or create matters manually using the + New Matter button on the dashboard.

Connect email

Go to Settings → Email Settings to configure your SMTP credentials. This lets you send and receive emails directly within matters.

Set up automations

Once your matter types are configured, add automations to handle repetitive tasks: deadline reminders, step-change emails, document generation, and more.
